AI actions are a set of tools that help you improve a task. With AI actions you can schedule a time, restructure a task using the SMART method, generate a description, break it into subtasks, or build a checklist. Instead of editing the task by hand, you pick the action you need and the AI assistant does the work for you.

Each action opens a dialog with the AI assistant, where you can clarify the details, and every change is confirmed with you before it’s applied:

  • Schedule a time — the AI looks at your schedule and finds a free slot for the task (today, tomorrow, or across the week);
  • Improve with SMART — the AI suggests a rewrite of the task name so it becomes specific and measurable;
  • Generate a description — the AI writes a detailed description right inside the task;
  • Break into subtasks — the AI splits a large task into manageable subtasks;
  • Build a checklist — the AI creates a step-by-step list of actions for completing the task.

Note. If you’re not happy with the AI assistant’s result, try a more powerful model — it will most likely give you a better answer.

How to run AI actions

There are two ways to run AI actions.

Option 1. Open your task list and right-click the task you need. The context menu shows an “AI actions” section. Click it to see the full list of available actions, then pick the one you need.

Option 2. Double-click a task to open it. Inside the open task you’ll find a magic wand icon — that’s the AI actions button. Click it to bring up the menu with all available actions.

Note. Before you use AI actions, make sure the AI assistant is turned on. If it’s off and you pick an AI action, the app opens the settings window automatically. Turn on the “AI assistant” toggle to activate the feature. Once it’s on, you can use all AI actions as long as you’re on an Elite or Trial plan and have your own AI provider and model connected.

Available AI actions

Each AI action improves a task in its own way. When you pick an action, a chat with the AI assistant opens. That’s where the work happens. You can clarify the details, ask for changes, or just accept what the AI suggests.

Schedule a time

The AI looks at your schedule and finds a free slot for the task. You can choose the period: today, tomorrow, or the whole week. If there are conflicts with meetings or other tasks, the AI offers to fix them or leave them as they are.

Example: You have a task called “Write the report.” The AI checks your schedule and suggests a free slot, say tomorrow from 2:00 to 4:00 PM.

Improve with SMART

The AI rewrites the task name using the SMART method so it becomes specific, measurable, and achievable. The assistant suggests a new name that’s clear and easy to understand.

Example: If a task reads “Improve sales,” the AI might rewrite it as “Increase sales by 20% this quarter.”

Generate a description

The AI writes a detailed description for the task based on its name. Handy when you want the task to carry more context and detail.

Example: For the task “Prepare a presentation,” the AI can write a description with the number of slides, the structure, and the deadlines.

Break into subtasks

The AI splits a complex task into several manageable subtasks. This helps when a task is big and feels hard to start.

Example: The task “Launch a new project” can be broken into: “Build the team,” “Approve the budget,” “Prepare the documentation,” “Hold the first meeting.”

Build a checklist

The AI creates a step-by-step list of actions for completing the task. Useful when you don’t know where to start and need to break everything into concrete steps.

Example: For the task “Set up a meeting with a client,” the AI can build a checklist: “Pick a time,” “Send the invite,” “Prepare the materials,” “Hold the meeting.”

Note. When you use AI actions, the app asks for your permission before applying any changes. You can click “Allow” to apply the change right away, or “Allow in this chat” to apply it in all similar cases within the current dialog.

AI actions can work in two modes:

  • Ask — you ask the AI questions and it answers. Good for discussion and clarifying details.
  • Agent — the AI performs the actions itself (creates subtasks, generates a description, and so on). Some AI actions need this mode.

Note. If the AI asks you to switch to a specific mode, follow its instructions so everything works correctly.
